🚀 What Are Sequences in Pipedrive?
Pipedrive recently introduced a new module called Pulse, and within it, a powerful feature: Sequences. This allows users to automate their follow-ups and client communications in a smart, personalized, and scalable way.
A sequence is a series of steps—like sending an email or scheduling a task—that can be triggered when a deal or lead reaches a certain point in your sales pipeline. This means you no longer need to manually follow up or worry about forgetting to reach out.
You can either build sequences from scratch or start from ready-made templates. These templates are designed for common scenarios like lead nurturing or deal conversion, and they can be fully customized to fit your business process.
⚙️ How Sequences Work
When creating a sequence, you can choose whether it should apply to a lead or a deal. Once that’s defined, you can start adding steps such as:
- An email sent automatically or saved as a draft
- A follow-up task assigned to a user
- Delays between steps (e.g., send 3 days later)
- Optional inclusion or exclusion of weekends
Each step gives you flexibility. For example, emails can be sent automatically, or saved as drafts so users can review and personalize them before sending. This is ideal for maintaining a more human and personal tone with leads.
Another key feature is the ability to stop a sequence when a lead replies. This avoids unnecessary follow-ups and ensures the process stays natural.
🤖 Automating Sequences with Pipedrive
Sequences become even more powerful when paired with Pipedrive’s native automation builder.
For instance, you can set up an automation that says:
“When a deal moves to the stage ‘Contact Made’, start Sequence 001 – Lead Nurturing.”
You can also add conditions, like checking if the email field is filled in, to avoid failed sends. And by using the if/else logic, it’s possible to direct different types of leads into different sequences, depending on their status, pipeline, or custom fields.
This helps create a smart, dynamic workflow that adapts to each situation, all without needing third-party tools.
✨ Benefits of Using Sequences
Sequences offer several major advantages over traditional automations:
- Visibility: Users can see upcoming emails, modify them, or cancel before they’re sent.
- Consistency: All leads get the same follow-up flow, improving process quality.
- Flexibility: Sequences can be triggered manually or automatically.
- Human touch: Emails are customizable, and can even be reviewed individually.
- AI Support: Pipedrive’s built-in AI can help generate email drafts quickly.
Another powerful element is that email replies automatically stop the sequence. This keeps conversations relevant and prevents the system from sending outdated or unnecessary messages.
🔒 Limitations and User Access
By default, every user in a Pipedrive account can create and manage sequences, even if they don’t have automation permissions. This is something to be aware of, especially for admins managing multiple teams.
Also, note that a single sequence is limited to 250 deals or leads at once. If you need to run more, you’ll have to duplicate the sequence and segment your data with filters.
Admins are advised to create a naming convention (e.g., “001_Lead_Qualification”) to keep sequences organized, especially when duplicating them for different teams or workflows.
📥 Manual and Bulk Usage
There are two main ways to add deals to sequences:
- Manually, directly from the deal view.
- In bulk, by selecting multiple deals in the list view and applying a sequence to them.
This makes it easier to adapt sequences to various sales workflows. Whether you’re dealing with high-touch clients or working at scale, sequences can fit both approaches.
📊 Tracking Progress
Within the Sequences tab, you can track:
- Which sequences are active or enabled
- Who created or activated them
- How many deals are currently “in progress” or “completed”
- Which contacts replied and ended the sequence
Pipedrive also tracks email opens and link clicks, making it easy to monitor engagement and optimize your messaging over time.

Yes. You can set up automations with specific filters or conditions (such as deal stage or custom fields), which then trigger a sequence automatically. This is a great way to send targeted follow-ups without doing it manually.
Yes, good news: Sequences are available on all plans, including Essential, Advanced, Professional, and Power. You don’t need to upgrade to access this functionality.
You’ll need to duplicate the sequence and apply it to another segment of leads. It’s best to plan in advance and use filters in your automations to avoid hitting this limit unexpectedly.
Currently, any user can create or assign a sequence—even if they’re not allowed to build automations. There are no role-based restrictions yet, so admins should check the Sequences tab regularly to stay in control.
Yes. When scheduling steps in a sequence, you can choose whether to include or exclude weekends. Just be careful—Pipedrive sometimes phrases this as “Include weekends” or “Exclude weekends” depending on where you are in the tool.
